Visas, port passes, transfers, hotels and immigration formalities arranged in one file — with our own rooms and vehicles behind the schedule.

  • Visa guidance and letters of guarantee by nationality
  • Port entry passes and immigration formalities
  • Flight-tracked meet and greet inside the terminal
  • Group hotel rates at our own airport hotel
  • Launch boat transfers for crew changes at anchorage
  • Medical cases, repatriation and escort arrangements

A crew change fails on timing, not on paperwork. Flights land late, berths shift, immigration queues build. What protects the schedule is having the rooms, the vehicles and the port passes already arranged — and someone empowered to change the plan at two in the morning.

Before the crew fly

We confirm visa requirements by nationality, issue letters of guarantee where needed, apply for port entry passes and file the crew list amendments with immigration. You get a written plan with times, names and contingencies before anyone boards a plane.

On the day

Our driver meets the flight inside the terminal, not at a car park. Arriving crew go straight to the vessel or to our own hotel if the berth is not ready. Signing-off crew are collected from the gangway and delivered to check-in with time to spare.

When it goes wrong

Delayed flights, missed connections, a berth that moves by twelve hours — these are normal. Because the hotel and the vehicles are ours, we absorb the change without a chain of supplier phone calls.

Visa requirements change by nationality and by port of entry. We confirm the current position in writing before crew are booked to travel and never rely on a previous case as precedent.

Frequently Asked Questions

Seventy-two hours is comfortable for most nationalities. We have completed changes on twelve hours' notice where visas were not required and the berth was confirmed, but that is a different risk profile and we will say so before you commit.
Yes, at every anchorage we serve. It requires a launch boat, agent escort, harbour master permission and weather within limits. We book the boat provisionally and confirm on the day rather than cancelling and rebooking.
Our group owns Best Western Premier Hidden Hills Istanbul Airport, so rooms come at group rates with 24-hour reception and early check-in for crews arriving overnight. If another location suits the port better, we book that instead.
