Frequently Asked Questions

The questions principals, masters and crew managers ask us most often. If yours is not here, the duty desk answers within the hour.

Appointing us

Within the hour, at any time of day or night. We need the ship's particulars, the ETA and the nature of the call to start work; everything else can follow. For vessels already at anchorage we have accepted appointments and boarded the same day.
Yes. Protective and owner's agency appointments are routine for us. We attend the call in the owner's interest, verify the nominated agent's filings and reporting, and review the disbursement account before it becomes a dispute.
Sixteen ports across five regions: the Marmara, the Turkish Straits, the Aegean, the Mediterranean and the Black Sea. The port network page lists each one with its restrictions, airport connection and the services available there.
Ship's particulars including the tonnage certificate, ETA, the purpose of the call and the cargo if any. For crew changes we also need nationalities at least seventy-two hours ahead so visa requirements can be confirmed.

Costs & accounts

The same working day in almost every case, and within a few hours for a standard call at a port we serve regularly. If a terminal has to confirm a tariff before we can be accurate, we say so rather than guessing.
No. Port authority dues, pilotage, towage, mooring, supplies and any third-party service are passed through at cost with the invoice attached to the account. Our agency fee is a single, separately stated line.
Within five days of sailing, with supporting invoices attached. Unused funds are returned without waiting to be asked for them.
Services rendered to foreign-flag vessels may be exempt from Turkish VAT depending on the nature of the service and the vessel's status. We state the treatment applied on every proforma rather than leaving it to be discovered on the final account.

Crew & transfers

Seventy-two hours is comfortable for most nationalities. Shorter notice is possible where visas are not required and the berth is confirmed, but the risk profile changes and we will tell you that before you commit crew to flights.
We confirm the current requirement by nationality and port of entry in writing, issue letters of guarantee where the format allows, and file crew list amendments with immigration. We never rely on a previous case as precedent because requirements change.
We track inbound flights and reschedule the driver automatically. Waiting time is measured from actual landing, so an ordinary delay does not generate a charge. If the delay breaks the crew change window we rework the plan and tell you what it means before it costs anything.
Best Western Premier Hidden Hills Istanbul Airport belongs to our group, which is why rooms come at group rates with 24-hour reception, early check-in for overnight arrivals and flexible release when a berth moves.

Ports & transits

Not for every vessel, but it is strongly recommended and in practice expected for larger tonnage, tankers and vessels carrying dangerous cargo. We give a recommendation based on your vessel's dimensions, cargo and manoeuvring characteristics rather than a general rule.
Yes. Cash to master, provisions, spares and crew documents can be delivered at the northern or southern anchorage during a transit stop, arranged alongside the transit attendance itself.
Our operations team updates them as terminals and authorities publish changes. They are accurate to the best of our knowledge but are indicative: always confirm draft, LOA and berth restrictions with us for your specific vessel before fixing.
Yes, at every port in the network. We arrange and attend bunker deliveries without taking a margin on the fuel, and we source, clear and deliver provisions, bonded stores and spares to the gangway.
